Website visits and enquiries
When you contact us, we receive your name, work email, company, country, team size and anything you choose to tell us. An enquiry can include your calculator selections, the website or link that brought you to us (including any campaign tags in it), and the pages you viewed on this site during that visit. Those pages are noted in your browser's memory only, with no cookies or stored identifiers, and reach us only if you send an enquiry. To prepare for our conversation, we look up you and your company in public sources such as your company's website and LinkedIn, using an AI research service described below. Cloudflare processes technical request information to deliver and protect the website; the form also uses your IP address for an hourly anti-abuse limit. Please do not send confidential business records or passwords through the form. You do not have to submit an enquiry, but without the required contact details we cannot respond.
Why we use this information
We use enquiries to respond, arrange demonstrations and prepare a suitable proposal. We rely on our legitimate interests in answering business enquiries, operating this website and preventing abuse, or on taking steps at your request before entering a contract where applicable. We do not sell personal information or use enquiry content for advertising. We do not use the enquiry form to subscribe you to marketing.
Service providers and access
The website and enquiry records are hosted by Cloudflare. Enquiry notifications, including the details you submit, are delivered to our team through Slack. To prepare a short background brief on each enquiry, we send your name, company, the domain of your email address, country, team size and message to Anthropic, whose Claude service searches public sources on our behalf. Relevant Pentatonic team members use them to respond. These providers can process information outside the UK. Contact privacy@pentatonic.com to request details of the relevant transfer mechanism and a copy of its safeguards. We may also disclose information when required by law.
Cookies and preferences
The website stores your light or dark appearance preference in your browser. You can clear it through your browser settings. We do not use this preference to identify you or track you across websites.
How long we keep it
We keep enquiry information while handling your request and, if you become a customer, for the resulting relationship and applicable legal record-keeping period. For enquiries that do not lead to a customer relationship, we assess whether follow-up or a dispute still requires the record. You can request deletion at privacy@pentatonic.com. Anti-abuse counter records expire after one hour.
Seesa deployments and responsibilities
Your organisation chooses its users, connected sources and permissions and ordinarily determines the purposes for its company content; Pentatonic processes that content to supply and support Seesa under the customer arrangements. An on-prem installation stores its company content on a separate encrypted volume on the customer's machine. Users reach the installation through Cloudflare, which checks sign-in and carries their connection to it. Every connection that leaves an installation, including the health heartbeat to Pentatonic and the remote support path, is listed on our security page and in the customer's data processing agreement. Website enquiries are separate from Seesa workspace content. The customer agreement and data-processing terms should identify the deployment, providers and support-access arrangements that apply.
Google account and connected data
Google sign-in can provide your name, email address and account identifier. If you connect a work account, Seesa can request access to Gmail messages and labels, Calendar events, and existing Drive files to search your information, prepare cited answers and briefings, and propose work. Permissions can also allow Seesa to send a Gmail reply, create or change a calendar event, and create or edit files you use with the app after you approve the action. Depending on the connector configuration and permissions shown at consent, Seesa can also request access to Google Sheets, Google Docs, Contacts and broader Drive editing. These permissions are optional to website use; the Google consent screen states the specific access requested when you connect.
How connected information is used and stored
Seesa retrieves connected content and metadata, stores OAuth credentials and may keep indexed content, extracted text, references, derived memory and interaction records so that its search, briefings and assistant can work. Data and credentials are held within the customer installation, with infrastructure and access providers processing what is needed to deliver the service. We use Google user data only for the Seesa features you use, security and legal obligations, in accordance with the Google API Services User Data Policy, including its Limited Use requirements. We do not sell it, use it for advertising, or train general-purpose AI models on it.
Access, disconnection and deletion
Users can disconnect a Google connection in Seesa or revoke access in their Google Account. Disconnecting removes the stored connection credentials and stops new collection; information previously retrieved for search or memory may remain until it is deleted under the customer arrangement or a valid deletion request. Contact your organisation's administrator to request removal of company content, or privacy@pentatonic.com for help. Pentatonic personnel may access specific content only with the user's affirmative agreement for support, when necessary to investigate security or abuse, or when required by law.
Your rights
Depending on the circumstances and applicable law, you can ask to access, correct, erase or receive a copy of your personal information, restrict its use, or object to processing based on legitimate interests. You may object to our use of your information based on legitimate interests at any time. Contact privacy@pentatonic.com. For information controlled by your employer in Seesa, contact your organisation's administrator. You can complain to the UK Information Commissioner's Office at ico.org.uk, or your local data protection authority.
Changes to this notice
We will update this page when the way we handle information changes. The date above identifies the current version.
